'UTHealth Secure Share' Available for Large-File Sharing

UTHealth Secure Share, also known as Novell FILR, has replaced XFiles as a secure way to share large files.

UTHealth Secure Share, a secure tool to share UTHealth files and documents with collaborators, has replaced XFiles and is now available across the university. Secure Share can be used for sharing all types of files, from departmental protocols and committee minutes to large data sets and sensitive documents.

Whether you’re on campus or away from your desk, you can access all your files and shared network folders from anywhere as if you were in the office using UTHealth Secure Share. The tool allows you or your IT staff to select which files and folders to share and whom you would like to share them with.

Also known as Filr and developed by the software and service company Novell, UTHealth Secure Share is now our institution’s official application for sharing sensitive data such as protected Health Information (PHI) and information governed by federal laws including the Health Insurance Portability and Accountability Act (HIPAA) and Family Educational Rights and Privacy Act (FERPA).

Getting started
All users’ previous home drive on the institutional network has been migrated to UTHealth Secure Share and the files are ready to use. If you share a file or document with a work partner, start by logging on to UTHealth Secure Share using your university username and password.

External collaborators will be prompted to register for a password-protected account to use the new tool. Once registered, restart the computer so all updates and permissions are applied.

Security, control, flexibility
A vast amount of sensitive information, such as research data and patient health information, is stored and circulated in the UTHealth computer systems and is required to be protected to comply with laws and government and institutional rules and regulations.

The login requirement and other designs built in the UTHealth Secure Share tool ensure sensitive data are well protected. UTHealth Secure Share also keeps track of user activities and identifies the user.

Move your files to new home
If you haven’t done so, you need to start transferring all your networked files and folders from XFiles to UTHealth Secure Share so they can continue to live in the system for access and sharing as XFiles is being decommissioned.

By the end of May, there’ll be no more IT support for XFiles. If you lose a file on the old system, for instance, IT won’t be able to recover it for you.
